Privacy Policy
Effective October 7, 2026
This policy describes how ASE Records / ASE Headquarters ("ASE," "we," or "us") handles information through our website, booking assistant, accounts, studio services, and related communications.
Information we collect
- Contact and account details you provide: name, email, phone, username, artist or company name, and communication preferences. Passwords are stored as password hashes, not readable passwords.
- Service and project details: requested services, dates, times, engineer preferences, quotes, notes, correspondence, and files you choose to supply through an available upload or delivery method.
- Transaction and rewards records: booking references, payment status and amounts, processor transaction identifiers, refunds, points, and redemptions. Enter card details only in the secure payment form, never in chat. Stripe processes card data; ASE's booking database does not store full card numbers or card security codes.
- Technical and referral information: browser/device information, IP addresses or security logs processed by hosting providers, visited pages, referrer information, and campaign identifiers supplied in links. The site uses session cookies and browser storage for sign-in, preferences, and referral attribution.
- Chat messages and limited recent conversation context needed to answer your request. Booking or quote details submitted through chat become ordinary booking or quote records.
How we use information
We use information to provide and schedule services, avoid double bookings, manage accounts and staff access, prepare estimates, process payments, reconcile rewards, deliver project work, answer questions, protect the site, keep business records, and understand which referrals lead to inquiries. We use newsletter signups and recorded marketing choices for ASE news and offers. Service confirmations and security messages are separate from optional marketing.
Who receives information
Authorized ASE owners and staff receive information needed for their roles. Service providers may process information to host the site and database, accept payments, operate authorized Google Calendar and Gmail integrations, receive operational notifications, deliver files, or support customer communications. These may include OpenAI/Sites, Cloudflare, Stripe, Google, and Slack where the relevant feature is configured. We may disclose information when required by law or reasonably necessary to address fraud, security, legal claims, or protection of people and property. This policy does not authorize the sale of customer records or disclosure of private project material for unrelated advertising.
Google account information
When an authorized ASE operator connects a Google account, the application uses the permissions granted to support the selected business functions: checking calendar availability, creating or updating studio booking events, and sending transactional messages. When an operator connects the studio mailbox for outreach coordination, the application checks message sender metadata and message identifiers to find replies from known research contacts. Matched replies pause outreach and require human review; the synchronization does not read message bodies or send replies. If Drive or Sheets are separately enabled and authorized, project-file organization or operational records may use those services. Website visitors do not need to grant access to their personal Google accounts to submit a booking. Google-derived data is not used for unrelated advertising, sold, or sent to the booking assistant for general AI training. ASE's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. An operator may revoke access in their Google account, which may interrupt connected functions.
Assistant and optional speech
The assistant can answer from ASE's service catalog. When external AI assistance is enabled, your message and a limited recent conversation are sent to the configured AI provider to generate a response. The current application requests that generated responses not be stored through the provider's response-storage feature; this does not eliminate provider security or legal retention. Do not send passwords, payment-card numbers, government IDs, or confidential material that is unnecessary for your inquiry. Optional spoken replies use your browser/device speech service after you enable them. The assistant does not need microphone access for text chat.
Embedded services and browser choices
Maps, videos, fonts, social links, and other embedded or linked services may receive technical information when loaded or opened and operate under their own policies. Some media is served from ASE's archived copies. Browser controls can limit cookies or clear local storage, but blocking necessary storage may affect sign-in and other functions. Signing out revokes the active ASE session.
Retention and security
Information is retained for the purposes described above, including active projects, account support, accounting, dispute handling, and legal obligations. Retention depends on the record type and applicable requirements; there is no promise that records or project files will be stored forever. Access controls, encrypted connections, password hashing, and other technical measures reduce risk, but no service can guarantee perfect security or uninterrupted availability. Keep your own copies of important project files and protect your login credentials.
Your choices and requests
Contact aserecordsnj@gmail.com or 908-270-0113. Studio: 360 Chambers Street, Phillipsburg, NJ. You may request access, correction, deletion, or a change to marketing preferences. Put "Privacy request" or "Unsubscribe" in the subject and identify the account or address concerned; do not send a password or full payment-card details. We may verify your identity before releasing or changing personal information. Some records may need to be retained for legal, security, accounting, or dispute purposes. Depending on applicable law, you may also have rights to obtain a copy, appeal a privacy-request decision, or opt out of particular processing. Contact us to exercise an applicable right or appeal a decision. Nothing in this notice limits rights provided by law.
Children
The self-service account and booking website is intended for adults arranging services. A parent or legal guardian should contact ASE to arrange services involving a minor. Please contact us if a child has supplied personal information through the website so we can review and address it.
Location and changes
ASE operates in New Jersey; service providers may process information in the United States or other locations. We may update this policy as practices change and will identify the current effective date here. Material changes will be communicated as required by applicable law.
